Mobile Privacy Policy
ezBusiness Suite — Mobile Privacy Policy
Updated 31 October 2026
About this policy
This policy describes the ezBusiness Suite iPhone application provided by ezBusiness Suite in Australia, and its connections to the ezTradie workspace service. Contact: appsupport@ezbusiness.com.au. Separate Suite websites and optional integrations may have additional notices. Opening a website from the application does not automatically sign you into that website.
Information you choose to provide
You can scan documents without signing in. When you sign in, your email address and password are transmitted to the ezTradie service to authenticate you. The application receives workspace choices and, after you choose, a device identifier and access/refresh credentials. These credentials are kept using iOS secure storage. The app displays your workspace name and authorised job information. Do not include other people's information unless you are entitled to do so.
Document scans
Camera scanning and optional text recognition and upright rotation are performed on your iPhone. Scans are prepared as temporary PDF files. The native scan workflow does not automatically upload them to our workspace service or an external AI service. Use Save or share to keep a copy in your chosen destination. You can discard a temporary scan; the phone may also clear temporary storage. Copies saved to Files, cloud drives or other applications are controlled by those destinations and are not removed when you discard the temporary scan.
Installation jobs and photographs
When signed in, the app retrieves the jobs and documents you are authorised to access. Photographs you select for a job are uploaded to the workspace service with their job and upload identifiers. Originals may contain personal information or location metadata. Review images before uploading. Workspace access and permissions govern who can see job content. Publication choices are distinct from uploading: public gallery or social use requires the applicable authority and permissions. Preparing an email permission request does not send the email or automatically publish to a social network.
Optional calendar access
Calendar Sync is optional and requires your permission. You choose calendars, review a manual busy-time snapshot and confirm before sending it to the workspace service. Calendar and event identifiers are hashed; start/end times are sent to reserve availability. Event titles are excluded by default and included only if you explicitly choose the title-sharing option. Notes and event locations are excluded from the snapshot. This feature does not provide background synchronisation or write appointments back to your phone calendars. Disconnecting the phone connection removes its imported busy-time mirror; your original calendar events stay on your phone.
Business directory and maps
Directory searches send your entered service, selected town/category and pagination values to the directory service. The native directory does not request your GPS location. Public business profiles use approximate locality information and stated service areas. Apple supplies map content through MapKit and handles map-service requests under its own privacy terms.
Technical and support information
Network requests disclose technical information such as your IP address to the service receiving the request. Our services use authentication, device/session records and operational/security logs to provide access, investigate errors and prevent misuse. If you contact support, we receive the information you choose to send, including your reply address and any screenshots or attachments. Never send your password or access credentials to support.
Why information is used and who receives it
Information is used to operate the tools you request, authenticate access, synchronise authorised workspace records, respond to support requests and protect the service. Workspace information is available to authorised members according to their roles. Service providers supporting hosting, delivery and security process information needed for those functions; the workspace is hosted using Amazon Web Services. Apple processes App Store/TestFlight distribution and map requests. A destination you choose in the system share sheet or email app receives the content you choose to share. Linked websites and services operate under their own notices. The native application does not include an advertising SDK, request an advertising identifier or implement cross-app advertising tracking in the reviewed release.
Business-managed records and personal information
Authorised business owners and managers may access business-managed customer details, job records, listings, transactions and correspondence where the connected product and their role permissions allow it. Business records may be retained and work reassigned when a staff member leaves. Removing business access does not itself delete the business history.
Business access does not give an employer authority over a person's separate personal mailbox or private marketplace account. Content you deliberately import, upload or share into a business workspace is handled as workspace content and may be visible to its authorised members. Do not connect a private mailbox to a business workspace unless you intend the imported content to be handled that way. Public listings remain publicly visible. Linked personal and business services have their own account, ownership and privacy controls; this mobile release does not provide a universal personal/business account switch or recovery service.
Storage, international services and security
Workspace information is stored by our hosted services, including AWS infrastructure in Australia. Apple, delivery/support providers, and destinations you select may process information outside Australia. Country and retention arrangements depend on the service selected; ask us about a particular connection. We use HTTPS for app-service connections, secure credential storage and workspace access controls. No internet or storage system can be guaranteed completely secure.
Retention and your choices
Temporary scans are not a permanent archive. Workspace records, uploaded originals, account/session records and operational logs have separate retention needs. Business, financial, security and legal records may need to be retained after you stop using the app. We do not promise that signing out, uninstalling the app or requesting workspace closure deletes server records. The existing workspace closure flow preserves records and is separate from deletion. Contact us to request access, correction or deletion and we will explain what can be removed, any verification required and records that must be retained. Copies already saved or shared to other destinations must also be managed there.
Device permissions and access choices
You can decline or revoke Camera, Photos and Calendar permissions in iPhone Settings; the related feature may then be unavailable. You can use local document scanning without a workspace account. Sign out to revoke this phone's workspace connection. Browser sessions are separate. Contact your workspace administrator about business-managed records and permissions.
Questions, requests and complaints
Email appsupport@ezbusiness.com.au with the subject Privacy request. Describe the issue and relevant account email, without including your password or unnecessary sensitive information. We will verify authority where needed, investigate and explain our response. You may also contact the Office of the Australian Information Commissioner at oaic.gov.au about privacy rights and complaint options.
Changes
We will update this policy when the application's information handling changes and identify the revised date. Review the policy before enabling a newly introduced optional connection.
